Position Description

The role of Associate Office Manager is to provide a professional office environment for the QIAGEN Cary research groups. The responsibilities include ownership of the office support, supporting finance and accounting, office logistics management of new employees, as well as being the primary contact and interface visitors customers at the site. Performs a broad range of administrative support duties to ensure that the office and related work are being managed efficiently and effectively.

Office Support and Administrative Coordination:

  • Coordinates office, project, program team meetings and room reservations.
  • Coordinates site social functions and events.
  • Maintains office supplies.
  • Sort and distribute Daily Mail.
  • Maintains employee phone and email groups.
  • Prepare and distribute company announcements.
  • Building contact for FedEx, USPS and Office & coffee supply replenishment.
  • Building contact for interaction with landlord.
  • Maintains internal office signage and assists with ordering of office furniture as required.
  • Performs miscellaneous administrative duties and special projects as required by the Site Head.

Customer Interface:

  • Meet and Greet visitors with hospitable welcoming conveying the QIAGEN image.
  • Plan and execute corporate onsite lunch meetings, set up/clean up.
  • Assist customers and internal teams in organizing dbGAP co-applications.

Other:

  • Support site product management needs (Excel).
  • Assist in site build-out and reorganization.
  • Manage spreadsheets for submission of time and project tracking.

Position Requirements

  • Degree from a college secondary school/high school + 3 years related work experience.
  • 2 year degree from a college, university or technical school within the applicable discipline + 2 years related work experience.
  • 4 year degree from a college, university or technical school within the applicable discipline + 1 years related work experience.

Preferred Skills:

  • Proficient with Microsoft Office 2013.
  • Possess excellent organizational, communication, customer service, written and interpersonal skills.
  • Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner.
  • Excellent meeting and event planning and hosting skills.
  • Background in science and biology.

Personal Requirements

  • Ability to convey a positive and professional image.
  • Proactive get things done work ethic.
  • Ability to accurately follow directions.
